Navigating to Google Drive

  • Go to google.com and click "Sign In" at the top right of the window.
  • Click the grid icon (shown in picture above)
  • Choose Drive

Files and Folders Setup

  • Google Drive is where all of your files and dept. files will live from now on - even your Desktop and Documents folder need to move to Drive.
  • Scroll down to the next section titled "Getting Started with Drive" for help moving your files.

Working from the Drive

  • From within Drive, you can see your personal files (My Drive), your Team Drives (which are replacing the file server and mapped drives), and files that have been individually shared with you.
  • You should always keep a tab open for Drive to improve your workflow. All our files are in there!

Getting Started with Drive

  • Google Drive is the new home for all of your files and folders. It is secure, accessible everywhere, and makes it easy to share documents and collaborate seamlessly with others.
  • We need to move the files currently on your PC (Pictures, Documents, Desktop)
    • It is easiest to simply drag and drop your files.
    • Open a File Explorer next to the Browser, and drag over your files. This process should look similar to the picture on the left.
    • You can press Ctrl + A to select all files in a folder. Or hold down shift while selecting the first and last file you want to upload.
  • Create folders in Google Drive by clicking New > Folder

Sharing files from Drive

Team Drives

  • Find "Team Drives" in the sidebar on the left of Drive
  • These drives are replacing our file server, and "mapped drives" on your computer

Searching in Google Drive

  • Searching throughout Google Apps works great.
  • In Google Drive, however, it can sometimes return too many search results.
    • Filter your search by clicking the down arrow at the far right of the search box.
    • The Owner field may need to be "Owned by Me" if you created the document in question.
  • The search feature searches within documents and PDFs, too. You can specify more key words with the "Has the words" filter.

Other Details

  • Look through this screenshot to the left so you can get an idea for what all the icons mean.
  • Notice the "Manage Versions" option when you right click a file. Pretty cool if a document gets messed up!
    • Even if a file is accidentally deleted, it is recoverable. Google Drive users lose their work less often.
  • If you want to move a document to a Team Drive, just drag and drop it. Or right click the file and click "Move To," then click the back arrow on the small popup, and then select Team Drives.
